Student residence reservation instructions

Despite our pleas, unfortunately the reservation system is very complicated and only in Italian language. This page contains detailed instructions in English for those who do not read Italian. Before starting, make sure you have plenty of time and an image file of your passport/identity card (back and front) at the ready. Even when you are sharing a double room or an apartment with someone, every guest has to make an individual reservation through this system. Remember that the deadline for making the accommodation request in the student residence is 10 July.

Also remember that accommodation in the student residence is only available for check-in from 4.30 pm on 1 August 2022. The latest time for check-out is by 4.30 pm on Sunday 7 August 2022. Anyone needing accommodation for dates before 1 August, or after 7 August, will have to seek it elsewhere.

The prices are:

  • Single room: daily price  €103.73 / weekly price €218.46
  • Double room: daily price €57.64 / weekly price €172.37

STEP 1: USER REGISTRATION

– first of all, carry out the registration. Start by choosing the last box “Accreditamento utente” on this website: https://sol.esu.vr.it/public/index.php

– scroll to the end of the page and click the green button “prosegui”.

– start filling in your personal information on the first page titled “Anagrafica”:

Cognome = Last name

Nome = First name

Sesso = Gender: maschio = male, femmina = female.

Data di Nascita (gg/mm/aaaa) = Date of birth (dd/mm/yyyy)

Nazione di nascita: Leave at “estero”

Provincia di nascita: Leave at “comune estero”

Comune di nascita (per paesi diversi dall’Italia) = The city where you were born (outside Italy)

Codice fiscale = Fiscal code: click “calcola” which will automatically generate the code for you. If it gives you an error, try again, try first filling in your email address on the next row and then try again, or start over.

Indirizzo Email = Email address

Riconferma Email = The same email address again

– At the end of the page, click on the blue button that says “Avanti”.

 

– on the next page titled “Residenza/domicilio”, you will have to provide the following information:

Cittadinanza = Your nationality

Nazione = The country you currently live in

Provincia: Leave at estero

Comune: Leave at estero

Località: = The city you live in

Indirizzo = Your home address: Leave the dropdown menu as it is and write your street name in the empty field.

N° civico = House number

CAP = Postal code

N° di telefono fisso: Leave empty

N° di cellulare = Cellphone number: write this with the country code and without spaces. For example: +1234567890

Se domiciliato/a presso terzi, indicare il nominativo presente su citofono e/o cassetta postale: If you live in someone else’s postal address, you may write “c/o” and their last name here. 

L’indirizzo del tuo domicilio è lo stesso della residenza anagrafica ufficiale? Leave at YES

– At the end of the page, click “Avanti”

 

 

– a pop-up window will appear, asking: “Sei in possesso di un documento di identità italiano valido o del permesso di soggiorno?” (=“Do you have a valid Italian ID document?) ANSWER NO

 

 

– on the next page titled “Documento di riconoscimento”, you will have to provide information and a photo of your passport or ID card:

Tipo documento = type of ID document. If you use a passport, choose “passaporto”. If you use an ID card, choose “carta di identita”.

Rilasciato da = Issued by. The most common options are: comune=municipal office, questura=police, consolato=consulate.

Nazione = The country of issue

Luogo = The city of issue

Data rilascio = The issue date

Data scadenza = The expiry date

– Below, there is “Sezione allegati” where you have to upload an image of you ID document. This file(s) can be in PDF, JPG, JPEG, or PNG format and the file size should not exceed 10 megabytes. Before uploading a file, write a description on the empty field (for example “frontside”). Then, click “Nuovo file” to choose and upload the file. Once uploaded, you cannot remove the file.

 

– Go to the next page, titled “Password di accesso”. Here you will have to create a password for yourself. Password has to be 6-20 characters long. Write the password in both empty fields.

– Confirm and you will receive your user code (=codice utente). This code will also be sent to your email.

STEP 2: ROOM RESERVATION
 

– after having registered, go again to the starting page https://sol.esu.vr.it/public/index.php and click on the first box “Accedi con le credenziali ESU”. Insert your user code that you received at the end of the registration, and the password that you chose. Click “prosegui” to proceed.

– at the first access you are asked to choose the profile. Click below on “Profilo” and choose “altri/esterni”. For “convenzioni” choose “no” and leave “durata” empty. Confirm with the green button “salva”.

– after this, select “Alloggio – Foresteria” (=Accommodation – Guest House)

– check the box below “Dichiarazioni e autorizzazioni” and proceed with “avanti” until you arrive to the reservation page titled “Richiesta del periodo”

– fill in the arrival and departure dates on the first row (to get the weekly rate, put the whole week: 01/08/2022 – 07/08/2022:)

Data Arrivo check-in = Date of arrival and check-in (this cannot be earlier than 1 August)

Data Uscita check-out = Date of departure and check-out (this cannot be later than 7 August)

Note Periodo (indicare la tipologia di stanza richiesta) = Indicate what type of room (single or double) you want for yourself. Note that the single rooms will be assigned in order of arrival of the requests received

Note Generali [indicare eventuali richieste particolari (composizione delle stanze – compagni di stanza) e/o ulteriori periodi oltre ai quattro sopra riportati] = Other comments, for example the mention that you are coming to the conference, the name of your room mate (if you have one) for a double room, or the names of group members sharing more rooms in the same apartment. Remember that apartments can be composed of 3 beds (1 double room and 1 single room), 5 beds (2 double rooms and 1 single room), or 6 beds (3 double rooms). Note that each group member still has to complete this whole reservation process individually.

– complete the request by clicking the blue button “avanti” until you reach the green button “Invia la domanda” (=Send the quest). An automatic confirmation email of your accommodation request will be sent.

STEP 3: PAYMENT

-after the booking request, another email with payment link and a pdf attachment titled “Avviso di pagamento” will be sent in a couple of days to the applicant; it should be noted that the bed is considered confirmed only after the payment has been made within the indicated deadline.

-click on the link in the email: it will take to the Italian “pagoPA” system. This is the only way to pay for the student residence.

-on the pagoPa-website, click on “pagamenti con avviso”

-the website will first ask you for “n. avviso”. To find this number, open the pdf attachment (titled “Avviso di pagamento”) in the same email. At the bottom of the pdf, you will find “Codice avviso”. Insert this long number without spaces on the website where it asks for “n. avviso”.

-On the website, in the next field, you will have to insert your “codice fiscale” that was generated for you during the registration process. You will find this code at the top right of pdf, on the row that says “Destinatario aviso”. Insert this code with numbers and letters on the website where it asks for “Cod. fiscale/partita iva”. Click the blue button to proceed.

-On the next page, check that the information is correct and check the boxes at the bottom before clicking the blue button to proceed. On the several next pages, just click the blue button until you arrive to the green button (=”Procedi al pagamento”).

-Next you will have to choose whether you want to enter with “SPID” (Italian digital ID) or with your email. You probably don’t have SPID if you are reading this, so click the other button “Entra con la tua email”

-On the next page, insert the same email you used for registration

-On the next page, check the box “accetto la privacy policy” before proceeding

-On the next page, you may choose the payment method. The first one is for credit card, the second is bank transfer, and the last one is “other options”. These instructions have been written for credit card payment, so if you choose other methods, we do not have detailed instructions for those at the moment unfortunately. Note that if you try to annul the payment process (from the top right corner), you will have to start the whole payment process from zero.

-For credit card payment, the system accepts Visa, Visa Electron, Mastercard, Maestro, American Express, and Diners club. Insert the card information when asked and proceed with the blue button. A small transaction fee (= “costo di transazione”) might be applied.

-You will be redirected to finalize the payment in your bank’s own online portal.

-After a successful payment, a message will appear “Grazie, l’operazione è stata presa in carico”. Click the white button to close (= “chiudi”). A notification and a receipt (= “ricevuta”) will be sent to you in two different emails. This will mean that your booking is confirmed and there are no further messages.

Note: if your payment fails, or if you interrupt it, the payment process will end and an email notification will be sent. You may restart the payment process after having received this email notification.
